We specialize in Wedding Day Management for couples who love planning their own wedding but want a professional to step in, tie up the loose ends, coordinate the vendor team, and make sure everything runs smoothly when the big day arrives. You’ve done the planning—we’re here to help you actually enjoy it!

 

How is Wedding Day Management different from “day-of coordination”?

We believe great coordination starts well before the wedding day! We don’t simply show up the morning of your wedding and hope for the best. We connect with you in advance, learn your plans, review the details, build your wedding-day timeline, communicate with your vendors, and make sure we understand exactly how you envision your day.

 

When does XOXO get involved in the planning process?

While our primary role begins as your wedding gets closer, you’re not a stranger to us until then! Once booked, we’ll provide guidance along the way, and as we approach your wedding, we’ll dive into the details and begin taking the coordination reins so you can enjoy those final weeks.

 

Will you create our wedding-day timeline?

Absolutely! A detailed master timeline is one of the most important pieces of a smooth wedding day. We’ll create your timeline based on your plans and work with your vendor team to make sure everyone knows where they need to be and when.

 

Do you communicate with our vendors?

Yes! As your wedding approaches, we become a primary point of contact for your vendor team. We confirm details, share timelines and important information, and help make sure everyone is on the same page before the wedding day.

 

Will you help with setup and décor?

Absolutely! We’re happy to assist with setting out personal décor and styling the smaller details that bring your vision together. During final planning, we’ll review your décor and confirm what our team will handle. Larger, heavier, or more complex items—such as arbors, bars, furniture, or installations requiring assembly—may be outside our standard setup services depending on what’s involved. We’ll discuss these items in advance and determine whether another vendor will need to handle them so everyone knows exactly who is responsible for what.

 

Do you stay through the entire wedding?

Our coverage is designed around the needs of your wedding day, from setup and vendor arrivals through the important reception moments and wrap-up responsibilities included in your package. We’ll discuss your specific timeline so you know exactly when our team will arrive and when coverage ends.

 

Will I have an assistant coordinator?

Yes! Every XOXO Wedding Day Management package includes an assistant coordinator for up to 6 hours on your wedding day. Having an extra set of experienced hands allows us to manage all the moving pieces and make sure your day runs as smoothly as possible. If your wedding timeline, guest count, venue, or logistics require additional assistant coverage beyond the included 6 hours, additional time can easily be added for an additional fee.

 

Do you travel?

We sure do! XOXO is based in Virginia, but we love a good road trip. We’ve coordinated weddings throughout Virginia and beyond. Travel fees may apply depending on the location, and we’ll always discuss those with you before booking.

 

Can you work at a venue you’ve never been to before?

Absolutely. While we love returning to venues we know, an experienced coordinator doesn’t need to have worked at your venue before to manage your wedding beautifully. We’ll familiarize ourselves with the property, policies, logistics, and venue team ahead of time.

 

How far in advance should we book XOXO?

As soon as you know you want professional wedding-day support! Popular spring and fall dates can book well in advance, and because we intentionally limit the number of weddings we take, we recommend reaching out sooner rather than later.

Why should we hire a wedding coordinator if our venue already has a venue manager?

Your venue manager and wedding coordinator have two very different (and equally important!) jobs. The venue team is primarily responsible for the venue and its operations. We’re responsible for YOU and your wedding plans. We manage your overall timeline, coordinate your vendor team, help with personal details, troubleshoot behind the scenes, and keep the day moving so you, your family, and your wedding party don’t have to.
